Procedure
6:00pm
Registration begins. Players line up and are assigned to a group on an Excel sheet. Their group number is written onto their hands by marker. They are to be directed to different stations depending on their status: drivers, camera people, IC brothers, Iota Phi brothers. Drivers and camera people are to be checked in next to each other where every two drivers will be paired with a camera-person. A common team number is written on their hands in marker, and the players are set aside. Of the three people, at least one must be a member from Iota Phi for each group. As the actives, pledges, and IC brothers are checked in, they will be given a team number and money is collected. Each participant is assigned to a team, cycling through the list of teams and adding a member until all participants are in a team. There will be roughly 20 teams of 10 people each (assuming 200 people).
7:30pm
Event begins. Each group drives off.
10:30pm
Event ends, announcements, toast song.

Background

Scavenger Hunt is one of the big events that happens every term. Usually an IC event, the purpose of this event to perform as many tasks on film and collect as many items on a list that his handed out by the chairs. The saying goes "Whatever happens at Scavenger Hunt stays at Scavenger Hunt". While the event has been known to be full of a lot of wild antics, this aspect of Scavenger Hunt has been scaled back.

Risk Management Issues

Scavenger hunts are technically not allowed according to the National Standard Policy of Risk Management, but a slight "exception" has been made for Iota Phi. In Fall 2010, the Section Chair and Region Director discussed the legitimacy of the event with the chapter advisors. While there were concerns over the raunchy nature of this event, the Region Director posited that hunts for clues and items can be permissible as long as Iota Phi makes it safe and somewhat tasteful. This means that participants should not be put into a position in which they might be hazed, or have career-ending pictures taken of them. Despite the fact that Fellowship Vice Presidents have all photos of the event deleted at the end, camera phones make photos a cause for concern.

If something goes wrong with the event--say unflattering pictures pop up on the Internet--Iota Phi will likely be asked to cease holding the event. As a consequence, the Scavenger Hunt task list has become much more tame. Two rules of thumb may help in setting up a Scavenger Hunt task list:

  • Would a picture of this get someone fired, or hurt their chances of getting a job?
  • Assuming someone's parents saw this and they have a tendency to overreact, would Alpha Phi Omega get into any trouble for it, legal or otherwise?
